Business documentation through organisation

P1/P2/P3 - I will identify using examples the purposes of written business communications in four business context. My examples will be a letter, email, invitation to a meeting and agenda.

There are documents in different areas, such as: general communication, financial transactions or communication for meetings.

General communication:

  • Letter - formal letter is written in formal language, we usually write a formal letter from business organisation to another, clients, complaint letters etc., it has to be relevant and with no grammar, spelling and punctuation mistakes, purpose of writing a letter could be to make deals between business, to inform, to apply for a job, a formal document for your employer.
  • Email - is an electronic letter, world wide electronic communication, it is also fast communication between employees and employers, business partners and other companies for free.
  • Invitation to a meeting -  it is to inform employee or a person that there will be a meeting and to make sure that the person is informed before so that he or she is able to attend.
  • Agenda - to make sure that all the information necessary in the meeting is given.

P4 - I will identify appropriate methods of communication to different audiences.

We usually need to handle with different kind of people and it depends on environment we live in, work in etc.. There are a lot of different methods of communication but the most primary methods are email, phone, text, letter or face to face. 

The methods that we usually use within family or with friends are email, phone, text or social networks such as Facebook or My Space. It is easiest and quickest way to communicate with others. 

Within the company we work in, with co-workers, managers, directors, boss we usually use face to face communication which is clear. Some of the organisations are communicate with their employees only via email because they would like to have a record of communication. 

Face to face is the primary method that is used in education environment.  This method is necessary in the classroom. 



M1/M2/M3  – I will describe appropriate methods of written communication in different business organisations, also I am going to compare internal and external documents and will describe methods of written communication do different audiences.

Communication is an act of transferring or exchanging information or news.

There are a lot of different ways to communicate with each other. In business organisation we are able to use this kind of methods such as email, letter, phone call, fax etc and in normal life between friends and family members we usually text to each other or make phone calls. The most important thing is that we need to know how to communicate with each other, means what is the most appropriate way and language to use withing organisation or in real life and what kind of people you talk/write to.

Different methods of communication:

1.      Written communication
This is the one of most usable method all over the world right now. People use it especially in a work place, within organisation. Business people use emails at the most of their time. By sending emails you save a lot of time and it is a quickest and easiest way to communicate. Most of people have an internet connection right now, so you can set up an email account on your phone and read and reply for email anywhere you are. Letters, faxes or memos are also used withing organisation. Directors and managers use letter, to complain or to give a promotion or even to just give a brief information to the rest when he or she is away.

2.      Verbal communication
This is also one of the most usable methods all over the world. People always talk, people talk a lot. This is easy and quick way to communicate with person next to you. You also communicate verbally when you make a phone call. Face to face communication is used when business meeting, group meeting, family or friends meetings are going on. It is good to see the person you talk to because you can feel if the person is stresses or interested and you can observe her/his body language. This all help you to get known the person.

3.      Non-verbal communication
Non-verbal communication is the hardest way to understand a person you try to talk to. People who use sign language are hard to understand if the other people do not use sign language there is no chance for them to communicate. That is why is important to take care about those people and be patient and help them to communicate with each other by using different methods of communication.

You need to remember that sign language is not the only one way of non-verbal communication. People use eye contact, body language or gestures to help them to communication non-verbally.
